How to Plan a Wedding in Raipur: A 6-Month Timeline

A month-by-month timeline: what to book first, what can wait, and the three decisions that block everything else.

Book in this order, not this sequence

Most planning attempts start with a decor mood board. Work backwards instead: the venue determines your date capacity, the date determines your vendor availability, and the guest list determines your budget. Decor is last.

  • 1. Fix the date window and approximate guest count.
  • 2. Shortlist three venues against seated capacity and area, then compare all-in cost.
  • 3. Book the venue. Everything else depends on the hall, its access times and its policies.
  • 4. Book catering and decor together, because the venue's policy on both constrains the choice.
  • 5. Book photography — the vendor with the fewest available dates goes first.
  • 6. Book the remaining vendors: makeup, mehendi, music, transport, florist, pandit.
  • 7. Run the guest list, invites and travel last, once everything else is fixed.

Month 6 to 5 — shortlist and budget

The job this stage is a shortlist of three venues and a written budget with a real contingency line. Build the budget from per-plate costs upward, not from a total guess downward.

  • Estimate food at ₹550–₹950 per plate for a standard Chhattisgarh wedding and add 10–15% for service charge and GST.
  • Add venue hall hire, decor, photography, makeup, mehendi, music, pandit, transport, gifts and stationery as separate lines.
  • Hold back 10% of the total as contingency. Something always moves.
  • Visit venues at the hour you will actually book, not at the hour that suits you.

Month 5 to 4 — book the venue and the anchor vendors

This is the point where the plan becomes real. Peak-season dates in Chhattisgarh run November to February, and the best halls in that window go early — a January date should be booked by September or October.

  • Read the venue contract before signing: minimum spend, cancellation, outside caterer and decorator policy, overtime charges.
  • Get the decor quote against the actual hall, not a generic package.
  • Confirm the catering guest-count clause and the deadline for changing the final count.

Month 4 to 3 — photography, makeup and the guest list

Photography has the longest lead time because the post-wedding edit runs for weeks, so book it before you finalise anything visual.

  • Agree the deliverables in writing: edited album size, whether raw files are included, delivery dates, and the cost of any rush delivery.
  • For makeup, book a trial. Hair and skin type in Chhattisgarh humidity is not the same as a portfolio shoot.
  • Send invitations. A firm date means RSVPs start arriving and the final guest number becomes real.

Month 3 to 1 — lock the details

  • Confirm the final guest count with your caterer 3–5 days before the function, not a week before.
  • Share the function run-sheet with every vendor: access time, ceremony start, meal service, teardown time.
  • Confirm power, sound and generator arrangements with the venue in writing.
  • Assign one person as the single point of contact for vendors on the day. Multiple decision-makers is how timelines slip.
  • Prepare for the day itself: water, breakfast for the family, emergency cash, a printed contact sheet.

The week before

  • Walk the venue one more time and confirm the layout, table count and stage position against your floor plan.
  • Confirm every vendor's arrival time by phone the day before, not by message.
  • Keep the payment schedule simple: pay the balance to each vendor before their setup begins.
  • Check the forecast. If rain is possible, confirm the venue's covered-plan option in advance.

Frequently asked questions

How far in advance should I start planning a wedding in Raipur?
Six months is comfortable for a peak-season date. For a wedding between November and February, start by June or July because the popular banquet halls fill early. For an off-season date, three to four months is usually enough. The venue should be booked first regardless of timeline.
Should I book the venue or the photographer first?
Book the venue first. The venue determines the date, the guest capacity and the access times, and every other vendor quotes against it. The photographer should be booked immediately after the venue, because they too fill early for peak dates.
How much should I keep as a contingency in a wedding budget?
Ten percent of the total is the usual recommendation for a Chhattisgarh wedding. The most common overruns are the final guest count going up, a service charge that was not in the original quote, and overtime at the venue if the function runs late.
Do I need a wedding planner for a wedding in Raipur?
For a 300-plus guest wedding with a full run-sheet, a planner saves real money because they already know the venue's policies and the vendors' reliability. For a smaller function, the family's own coordination is usually enough, provided one person owns the vendor list.
